It is wise to explore your options and research any prospective builder by looking at their reviews and perusing their portfolio of completed projects, however it is also smart to be cautious about the builder that quickly brings the lowest price to the table and is ready to begin your project on a moment’s notice.

Keep in mind, that seasoned builders know what it takes structurally to ensure your safety and satisfaction. They also rarely have no pending projects on their backlogs to begin a project at the spur of the moment, securing proper permits and making sure quality materials to complete the project are all on hand takes a little time. The first question we ask during your design consultation will be “how do want to use your space.” Along with desired functions and aesthetics, we also inquire about what size and type of outdoor furnishings you intend to use within your space. For example, typically a standard-sized outdoor dining table takes up an area 6 feet long and 42 inches wide, with each standard-size outdoor chair taking up an additional two feet. Factor in ample pull out room for each chair will add another two feet per chair. This adds up to a space that takes up a 12′ x 12′ area. In addition to dining tables, most homeowners want a place for seating as well, which will tack on additional space. Once you add side tables and accompaniment pieces, you are looking at the need for more space than most homeowners had anticipated for their furnishings. It is only natural to anticipate the enjoyment a new outdoor living space provides! But for Archadeck of West Central & Southwest Ohio, our first concern is getting the project done correctly, in a timely manner and with the safety of you and your family in mind.

Ensuring a smooth, timely project depends heavily on having all the “bases covered” in terms of planning. Most of the homework required to begin your outdoor living space is covered as part of our planning process. However,  there are items that the customer is responsible for and it is always best to have these prepared and in-hand prior to beginning your project, these include but are not limited to:

  • Gaining the approval from your HOA (Home Owners Association)?
  • Are there restrictive covenants that will not allow the build of your structure on that property of land? What about Green Space covenants?
  • Can you be prepared to pay for a stamped engineer letter on the plans if the need arises?
  • Do you have a plot plan that includes proper setbacks for building?
  • Have you received zoning approval from the city for the proposed use of land?

These are only a few of the factors that can affect the build timeline. It’s important to get the HOA’s approval to build since they have the final say on how the property will be altered. An HOA isn’t the only thing that can hold beginning and completion of your proposed addition back, there could also be restrictive covenants which can deny the build from happening on the property to preserve the value of adjoining land. These are all things we will ask you. It is your responsibility as the homeowner to research and provide information to ensure the build timeline is on schedule.

These are in place to ensure not only a timely project timeline, but also as safety precautions for you, your family, your pets and our team members. These include but are not limited to:

  • Clearing the yard of any debris, including trash, animal feces, etc. and making sure the area is clean of any toys, or outdoor furniture.
  • In addition to cleaning up the yard where workers will be, make sure there is a designated area that materials can be dropped off, Archadeck wants to ensure the materials are being delivered properly and in a timely manner.
  • To ensure the safety of both furry family members and the Archadeck crew, we ask that you keep pets out of the area and put them in a safer environment during that period of building.

Anticipation and patience aren’t generally the closest friends. Just as we discussed in our blog article titled “Archadeck of West Central & SW Ohio discusses establishing a realistic construction timeline for your outdoor living project“, quality craftsmanship takes time. Rome wasn’t built in a day, and a professionally designed and built outdoor living structure shouldn’t be either. The impetus here is to realize that if a builder is ready to break ground immediately on your project chances are their services are not in high demand. This can be a direct reflection of their business practices and quality of work.

During the fall and winter months backlogs and lead times are usually less, but during the outdoor living season, when the weather is warmer, project beginning dates are usually substantially longer. All timelines are also influenced by forces that are beyond our control such as permitting, inspections and in some cases inclement weather such as snow, heavy rain or ice. Depending on what county or township you reside in, permitting may require a “walk thru” permitting process, or in certain municipalities permitting may require a “drop off” application. Drop off permit applications are granted in the order they are received and could take up to three weeks during the busy season. The turnaround time for permitting situations could add additional wait time for beginning your project but are a necessary element in the building process.

As a builder, the additional two to three inches of rainfall and subsequent saturation has definitely had an impact, as the backlog of projects is starting to increase. For the homeowner, these delays can be just as frustrating while they put their entertaining and relaxation plans on hold waiting for their new outdoor living space to be completed.

This often means concrete, framing or footing delays. We always make every effort to work your project around the forecast, but in some cases nature has a mind of its own.

Don’t let weather delays discourage you. Sticking to the schedule, in spite of the weather, along with your patience and waiting for the quality job you are worthy of are what’s really important here. To add or not to add, that is the question: What every potential Archadeck client needs to know about addendums

You may ask what is classified as an addendum? The textbook definition of an addendum is:

  • addendum n. an addition to a completed written document. Most commonly this is a proposed change or explanation (such as a list of goods to be included) in a contract, or some point that has been subject of negotiation after the contract was originally proposed by one party.

Its the little things that tend to add up in a big wayWe view anything requested in addition to what is noted on your contract as an addendum. This can be making the decision on site to extend a patio two more feet, or adding railing where none has been discussed prior to arriving on site to begin your outdoor living project. Addendums can be small or large, and everything in-between. Deciding to make changes to your agreed addition which differ in what is outlined in your contractual agreement once work has begun can not only cause a great deal of confusion, the cost associated with these add-ons can quickly add up.

Addendums decided on a whim without all decision makers, and your design consultant present, can also add confusion to the project and create a situation where your project timeline is affected.

Getting startedIn a perfect world, addendums would occur prior to scheduling and breaking ground on your outdoor living addition. It is important to not add a great deal of changes prior to your anticipated project to ensure it runs smooth and on-time. This is the main reason our design consultant thoroughly discusses your needs, wants and budget prior to preparing your custom design. However, there are instances when addendums will occur. This is why it is crucial for all parties that addendums are made in writing through your design consultant. For the protection of all parties involved any additions made after the initial contract is signed must be in writing and signed on by all responsible parties.

Boards are typically screwed or installed with hidden fastening system rather than nailed.

Care is taken to design and construct around specific functional issues. In addition, wood grain is aligned perpendicular with the traffic pattern to reduce the opportunity for splinters on bare feet if your addition is built from wood. If a hot tub is planned, a multi-tier design is often recommended for aesthetic appeal and convenient access to both the tub and control panels. Interesting angles are employed on most all of our deck designs to avoid an unimaginative, “boxy” appearance, this includes curved decking features which are not only stunning they deliver a better “flow” within your space!

There is a certain level of excitement for homeowners that is almost tangible when they move forward with having a custom outdoor living space built — and with good reason. Making the decision to design and build your own outdoor oasis is right up there in the ranks of getting a new sports car, or building your own home. To see the creation of a space that is all your own, your vision, brought to life!  Once we have ironed out all the details with a client, and the contract is signed, the most frequent question we are asked is “how long will it take?” While we don’t want to be evasive, there are many variables that have to be factored into each project before we can adequately assess the timeline for completion of your new outdoor space.

Much like the old, medieval French proverb states; “Rome wasn’t built in a day“, neither is a custom designed, engineered and custom-built structure of any kind. A topic that is rarely understood or discussed at length is establishing a realistic timeline for completion of your new structure.

There are many factors that go into a construction timeline, these are:

  • Does there need to be HOA approval? If so does your HOA meet quarterly or monthly?
  • Which county or township are you located in?
  • Is a variance needed?
  • Are the materials you have chosen for your particular design stocked locally or special order?
  • How many different trades are involved (plumbing, electrical, masons, HVAC or only carpentry)?
  • Weather or season, and site conditions?
  • What sort of backlog does the builder have?

Quality takes time.

These, and many other factors can affect the project timeline and should be taken into consideration when determining a final completion date. During your consultation it is imperative that you communicate to us early if there is a mandatory completion date required for your project. These include projects you wish built for a specific occasion or event such as an outdoor wedding, or planned outdoor gathering or celebration. In this way we can create a timeline with decision points that need to be addressed early on.

When the homeowner signs a contract,  project begin dates are established according to the current backlog we have at the time. During the fall and winter months backlogs and lead times are usually less. During the outdoor living season, when the weather is warmer, project beginning dates are longer. All timelines are influenced too, by forces that are beyond our control such as permitting and inspections. Depending on what county or township you reside in, permitting may require a “walk thru” permitting process, or in certain municipalities permitting may require a “drop off” application. Drop off permit applications are granted in the order they are received and could take up to three weeks during the busy season. The turnaround time for permitting situations could add additional wait time for beginning your project but are a necessary element in the building process.

Another variable which can alter your anticipated project timeline is weather conditions.  Since we have no control over the weather we have to work along with whatever Mother Nature provides accordingly. This could mean having to wait to pour concrete when the weather is conducive because of wet or freezing conditions, or rescheduling our framing crew because of inclement weather conditions for a footing installation. We always make every effort to work your project around the forecast, but in some cases nature has a mind of its own.

Once our team is on your project they remain on your project until it is completed. We do not jump around, from job to job, we treat yours as our one and only until it is done. We feel, this philosophy minimizes inconveniences and the disruption of our clients lifestyle. With this in mind, addendums added to your project while construction in underway can also extend completion dates, especially in circumstances where additional permitting and inspections are necessary to complete these additions.
