When it Comes to Choosing an Outdoor Structure Builder, Beware of the “Tail-light Warranty”

hassle-free no textWe have all heard the old sayings of  “you get what you pay for” and “haste makes waste.” These ring true in many situations we encounter including choosing a builder for your new outdoor structure project. It is wise to explore your options and research any prospective builder by looking at their reviews and perusing their portfolio of completed projects, however it is also smart to be cautious about the builder that quickly brings the lowest price to the table and is ready to begin your project on a moment’s notice.

Keep in mind, that seasoned builders know what it takes structurally to ensure your safety and satisfaction. They also rarely have no pending projects on their backlogs to begin a project at the spur of the moment, securing proper permits and making sure quality materials to complete the project are all on hand takes a little time. Be very wary of those that claim they can start on a dime, chances are they aren’t pulling required permits necessary to even break ground. Rome wasn’t built in a day, and a professionally designed and built outdoor living structure shouldn’t be either. The impetus here is to realize that if a builder is ready to break ground immediately on your project chances are their services are not in high demand. This can be a direct reflection of their business practices and quality of work.

The ultimate backyard room

In our 26+ years of service we have seen, and repaired, many projects where the homeowner hastily hired a builder just to get the project completed quickly. Not only where many of these structures dangerous, they usually resulted in the homeowner spending more to make it right than they would have had they hired us initially.

Another aspect to consider before you rush into your project, are the builders credentials… does the builder have a license,  or even insurance? These may seem trivial but are crucial if something goes wrong while the builder, or crew, is injured or has an accident while working on your property because you could be held liable.

contractor-selection-checklist

Last but certainly not least is to beware of the builder that only offers what is referred to as “the tail light warranty” — in essence, this means the warranty extends just as long as the tail lights are visible as he is leaving your project — funny to joke about, but not so much if you are the one watching them fade into the distance. When you choose Archadeck of West Central & Southwest Ohio to build your outdoor living structure(s) you will be protected by two separate guarantees, constituting the most expansive customer protection plan in the industry. And local oversight assures your property and privacy are respected as well. We attend to every detail from securing any needed building permits  to final cleanup. And we work very hard to be as unobtrusive as possible during the entire construction phase.

Archadeck of West Central & Southwest Ohio Explains the Importance of Understanding Project Timelines

Father's Day 2016The prospect of getting a new, or updated, outdoor living space creates excitement.

Once you have made the decision to move ahead with building your new structure(s) or upgrading an existing structure, it is difficult to calm the anticipation looking ahead to the joys it will bring along with it. We totally understand this — after all we are just as excited as you are to know the enjoyment your completed project will bring. We are also humbled and proud to play a part in creating this happiness.

The prospect of getting a new, or updated, outdoor living space also creates impatience.

Impatience, in all its forms is just an extension of anticipation. At Archadeck of West Central & Southwest Ohio we realize it is normal for our clients to want their project completed yesterday. However, it is also important to realize, as one of our valued customers, we want to provide you with the highest-quality structure to the best of our ability. And quality takes time. To ensure your finished outdoor living space brings extended enjoyment for years to come, not just “in the moment”, we have to make sure all the materials and craftsmanship meet our standard of excellence. In addition, when building a new deck, porch, patio or other structure there are mandatory permitting and inspections that must be covered. These are items that are scheduled beyond our control.

hassle-free no textIt is not uncommon here in the Dayton and Cincinnati area(s) to have a substantial wait in regards to permitting, variances, inspections and even engineer letters. It is also important to realize that if a builder is ready to break ground immediately on your project chances are their services are not in high demand or they aren’t obtaining the proper documentation and permits to build your structure. This can be a direct reflection of their business practices and quality of work.

Xenia, OH deck and pergola combination outdoor oasisHere’s what you need to know:

When our client signs a contract,  the project begin dates are established according to the current backlog we have on schedule at the time. During the fall and winter months backlogs and lead times can be less, but during the outdoor living season, when the weather is warm, project beginning dates are usually substantially longer. All timelines are also influenced by forces that are beyond our control such as permitting, inspections and in some cases inclement weather such as snow, heavy rain or ice. Depending on what county or township you reside in, permitting may require a “walk thru” permitting process, or in certain municipalities permitting may require a “drop off” application. Drop off permit applications are granted in the order they are received and could take up to three weeks during the busy season. The turnaround time for permitting situations could add additional wait time for beginning your project but are a necessary element in the building process. If the inspector requests any further documentation beyond the “norm” such as an engineer letter or variance, this also increases the wait times. Rules and regulations are also constantly changing and this too, can influence your project timeline.

Factors that influence a construction timeline:

  • Does there need to be HOA approval? If so does your HOA meet quarterly or monthly?
  • Which county or township are you located in?
  • Is a variance needed?
  • Are the materials you have chosen for your particular design stocked locally or special order?
  • How many different trades are involved (plumbing, electrical, masons, HVAC or only carpentry)?
  • Weather or season, and site conditions?
  • What sort of backlog does the builder have?

Archadeck of West Central & Southwest Ohio wants to help make your outdoor living project easy and hassle-free!

Kettering OH 2013 dream deck projectA customer’s first concern is generally when their project will be completed, and this is completely understandable, you’re excited and ready to spend time in your outdoor living space. It is only natural to anticipate the enjoyment a new outdoor living space provides! But for Archadeck of West Central & Southwest Ohio, our first concern is getting the project done correctly, in a timely manner and with the safety of you and your family in mind.

Ensuring a smooth, timely project depends heavily on having all the “bases covered” in terms of planning. Most of the homework required to begin your outdoor living space is covered as part of our planning process. However,  there are items that the customer is responsible for and it is always best to have these prepared and in-hand prior to beginning your project, these include but are not limited to:

  • Gaining the approval from your HOA (Home Owners Association)?
  • Are there restrictive covenants that will not allow the build of your structure on that property of land? What about Green Space covenants?
  • Can you be prepared to pay for a stamped engineer letter on the plans if the need arises?
  • Do you have a plot plan that includes proper setbacks for building?
  • Have you received zoning approval from the city for the proposed use of land?

These are only a few of the factors that can affect the build timeline. It’s important to get the HOA’s approval to build since they have the final say on how the property will be altered. An HOA isn’t the only thing that can hold beginning and completion of your proposed addition back, there could also be restrictive covenants which can deny the build from happening on the property to preserve the value of adjoining land. These are all things we will ask you. It is your responsibility as the homeowner to research and provide information to ensure the build timeline is on schedule.

Dayton outdoor living with petsOnce the planning prerequisites have been addressed, Archadeck of West Central & Southwest Ohio also asks each of our clients to go over a “to do” checklist prior to our crews arriving to begin your project. These are in place to ensure not only a timely project timeline, but also as safety precautions for you, your family, your pets and our team members. These include but are not limited to:

  • Clearing the yard of any debris, including trash, animal feces, etc. and making sure the area is clean of any toys, or outdoor furniture.
  • In addition to cleaning up the yard where workers will be, make sure there is a designated area that materials can be dropped off, Archadeck wants to ensure the materials are being delivered properly and in a timely manner.
  • To ensure the safety of both furry family members and the Archadeck crew, we ask that you keep pets out of the area and put them in a safer environment during that period of building.

Our utmost concern is to ensure you receive the best experience you can with us, and we believe that we can achieve this by working together and overcoming any obstacles that might stand in our way!

How long will it take to build my new outdoor living space?

Rain in Dayton and CincinnatiNot to state the obvious, but for the Miami Valley area, this has been one of the rainiest summers on record. As a builder, the additional two to three inches of rainfall and subsequent saturation has definitely had an impact, as the backlog of projects is starting to increase. For the homeowner, these delays can be just as frustrating while they put their entertaining and relaxation plans on hold waiting for their new outdoor living space to be completed.

mother nature

Since we have no control over the weather we have to work along with whatever Mother Nature provides.

Since we have no control over the weather we have to work along with whatever Mother Nature provides accordingly, such as the increased frequency and quantity of rainfall. This often means concrete, framing or footing delays. We always make every effort to work your project around the forecast, but in some cases nature has a mind of its own.

Don’t let weather delays discourage you. Sticking to the schedule, in spite of the weather, along with your patience and waiting for the quality job you are worthy of are what’s really important here. Additionally, Archadeck of West Central and Southwest Ohio maintains the project’s trajectory by not shuffling team members off and on jobs and keeping the schedule as close as possible. When we start a project, that specific crew, working on “your” job stays there until the project is completed.

We work hard to keep our clients informed about the project’s progress but one of the hardest questions to answer and most frequently asked is “how long will it take?” While we don’t want to be evasive, there are many variables that have to be factored into each project before we can adequately assess the timeline for completion of your new outdoor space.

There are many factors that go into a construction timeline, these are:

  • Does there need to be HOA approval? If so does your HOA meet quarterly or monthly?
  • Do you have a mandatory completion date, for an outdoor wedding or other special event?
  • Which county or township are you located in and what are the permitting requirements?
  • Is a variance needed?

  • What sort of backlog does the builder have?

The warm weather is here…do you wish your new outdoor living space was too?

PlansHere at Archadeck of West Central and Southwest Ohio we do client consultations for hundreds of homeowners each year and periodically we encounter some who get their perfect space designed but then have to put it on hold for various reasons. They just can’t move forward in pursuing their outdoor living structure project at that moment, but will get back to it a little later. For these homeowners, the good news is that there is never an expiration date on their dream space design, but the bad news is that the pricing for raw materials will more than likely increase. As an alternative, did you know that you can lock-in this year’s pricing and project schedule?

This deck, patio and fire pit flow naturally as one outdoor room!Stop putting your outdoor living space dreams on hold… now is the time to act in order to lock-in this year’s pricing and project schedule! These can include re-decking projects, outdoor room (porch) additions, patios, and amenity additions such as fire pits, fireplaces, and especially outdoor kitchens.  Wouldn’t you love to have that screened porch built in time to watch the colors of fall, or that fire pit to roast marshmallows to your heart’s content during autumn?? You can, but you need to get on the schedule as soon as possible!

NOW is the time to move forward if you want your space built and ready for enjoyment this year! Keep in mind, when dealing with a quality builder wait times can be longer, especially during the outdoor living season. With the summer being our busiest time of the year, our construction crews are booked several weeks out and if you are holding out on a design the schedule is filling up FAST!

The new deck complements the Tudor architecture of this home in Cincinnati, OH.Prices on synthetic/composite materials are can increase throughout the year as building continues and demand increases. By deciding to move ahead with your intended outdoor space and have it designed, planned and scheduled now, it will ensure you can lock into your pricing module for materials and not have to deal with a headache. Making the decision to schedule now will make certain that you will be able to enjoy the benefits of your new structure sooner too!

Understanding contracts and client expectations of a reputable builder

The ultimate backyard room

The ultimate backyard adventure begins with you!

Archadeck of West Central and Southwest Ohio is “America’s Deck and Porch Builder®”–We specialize in custom designed decks, screenrooms, sunrooms, gazebos and pergolas. With a NARI Certified Remodeler, trained design consultants, and a professional staff we’ve built hundreds of dazzling outdoor living spaces our clients enjoy and their neighbors envy. This staying power of our company is not by accident, it is well rooted in following best business practices which consistently produce satisfied customers and a successful business.

Best business practices include licensing, insurance and contracts to ensure peace of mind for our clients. As a leader in the outdoor living space building industry and an experienced, reputable contractor, we are licensed and fully insured with workers compensation and general liability insurance. This comprehensive coverage not only covers us while we are working, but protects your premises as well regarding any potential construction-related accidents. In addition to this protection, when choosing to work with us, you’ll receive a detailed contract (which incorporates an exact price quote and project scope), a labeled project rendering, specification sheet and the most expansive customer protection plan/warranty in the industry before construction begins.

Outdoor Living at its best in Clear Creek Township by Archadeck of West Central and SW Ohio

From a legal and risk-management perspective, your contract is king. The contract sets the tone and the expectations for any construction project, large or small. Everything from the work description and its price, client responsibilities, payment schedule, method for dealing with amendments to the work, clean up details and even the timing is laid out in the contract. We make every effort to make the customer happy but there are boundaries. If it is not written in the signed contract, it is not and cannot be an expectation…period. This means upon completion, once the work listed on the contract is completed to your satisfaction we are done.

The following aspects of our contract ensure a clear understanding of the responsibilities and expectations of both parties

  • Our Business information – company name, address, phone number and our registered business number
  • customer serviceClient information – Your name, address and phone number and the address of the building work site if it is different than your residential address
  • Date – contract signing date
  • Work description/Project scope – A clear statement or series of statements to spell out precisely what work will be done by our team, including filing and obtaining permits, making the Call Before You Dig phone call to have utility lines marked and any construction related debris removal. Specific references to materials (dimensions, special features and any other details related to the project materials) are to be listed on the specification sheet
  • Price – The total exact price (costs of materials, labor and any taxes)
  • Archadeck differencePayment schedule – Clearly indicates the agreed upon amounts and specific times for payment due at various stages of project completion
  • Client responsibilities – A clear statement of your responsibilities which would cover such tasks as location/marking of underground drain lines and sprinklers and work site clearance and refurbishing upon the completion of our work. (this can include: removal and saving any shrubs, trees or plants you wish to replant, reseeding or sodding areas of the lawn disturbed because of construction, cleaning areas on the exterior of the home in close proximity to said project or the installation of softscapes like mulch or pea gravel)
  • Signature lines – It is vital that the signatures of both parties be included in the contract to make it binding
  • The labeled project rendering, specifications sheet and warranty information (workmanship – one year and structural integrity – five years when Archadeck exerts control as your remodeling contractor) are additional components of the contract documents which help make the process as smooth as possible.

Post construction landscaping (something we NEVER do) and yard repair are items which are not part of our contract and are usually handled by the homeowner after we complete the project. However, yard repair can be coordinated through Archadeck as an above contract item and incurs additional costs which must be negotiated in writing, separately.

hassle-free no textRegarding start and end dates, we schedule by the first in first out concept. Once a crew is assigned to your project they are yours (unless you are advised differently) until they are finished; this is to minimize the disruption in your life. Throughout your project, there will be segments of time during which the crew will not be on the jobsite and this in no way means they are not working on your job. A lot of coordination items such as debris hauls or material runs as well as employee doctor appointments or sick days and inclement weather days require time away from the site. Unfortunately, bad weather today affects everyone in the queue for future start dates.

During our follow-up consultation we take the time prior to signing the contract to talk at length with you regarding each of these aspects of the project, making sure all details are included in the contract and expectations are clearly understood by both parties. This along with consistent, open communication throughout the building process helps to eliminate misunderstandings and validates what you’re getting for your investment.

Screened Porch with stair landing and cover

Ultimately, contracts are similar to building permits, as they are both legal requirements which track the project. They’re to protect everyone involved – the homeowner, the contractor, and the municipality. If differences of opinion occur, permits and contracts serve to guide the relationships to successful completion.

To add or not to add, that is the question: What every potential Archadeck client needs to know about addendums

Screened porch deck combinationsWe pride ourselves on providing our customers with the highest quality structure and customer service to match. Our goal is to treat you as though you are our one and only customer while involved of all phases of your particular project. Archadeck of West Central and Southwest Ohio does things a little different from other outdoor living space design and build firms. Once our team is on your project they remain on your project until it is completed. We do not jump around, from job to job, we pour all our resources into your project until it is done. We feel, this philosophy minimizes inconveniences and the disruption of our clients lifestyle. With this in mind, addenda added to your project while construction in underway can extend completion dates, especially in circumstances where additional permitting and inspections are necessary to complete these additions.

You may ask what is classified as an addendum? The textbook definition of an addendum is:

  • addendum n. an addition to a completed written document. Most commonly this is a proposed change or explanation (such as a list of goods to be included) in a contract, or some point that has been subject of negotiation after the contract was originally proposed by one party.

Its the little things that tend to add up in a big wayWe view anything requested in addition to what is noted on your contract as an addendum. This can be making the decision on site to extend a patio two more feet, or adding railing where none has been discussed prior to arriving on site to begin your outdoor living project. Addendums can be small or large, and everything in-between. Deciding to make changes to your agreed addition which differ in what is outlined in your contractual agreement once work has begun can not only cause a great deal of confusion, the cost associated with these add-ons can quickly add up.

Archadeck differenceAddenda that seem minuscule can sometimes mean incurring large additional more costs in the part of the project you don’t see; such as additional permitting, inspections, site preparation and structural work that has to be completed prior to safely and cohesively add-ons that appears to be only cosmetic to the client. Addendums decided on a whim without all decision makers, and your design consultant present, can also add confusion to the project and create a situation where your project timeline is affected.

“It’s dreadful what little things lead people to misunderstand each other.”
― L.M. MontgomeryEmily’s Quest

Getting startedIn a perfect world, addendums would occur prior to scheduling and breaking ground on your outdoor living addition. It is important to not add a great deal of changes prior to your anticipated project to ensure it runs smooth and on-time. This is the main reason our design consultant thoroughly discusses your needs, wants and budget prior to preparing your custom design. However, there are instances when addendums will occur. This is why it is crucial for all parties that addendums are made in writing through your design consultant. For the protection of all parties involved any additions made after the initial contract is signed must be in writing and signed on by all responsible parties.

Archadeck of West Central & SW Ohio discusses establishing a realistic construction timeline for your outdoor living project

Archadeck differenceAs part two in our three part series on Planning Designing & Building Considerations to Ensure Your Ideal Outdoor Space, we discuss establishing a realistic construction timeline.

There is a certain level of excitement for homeowners that is almost tangible when they move forward with having a custom outdoor living space built — and with good reason. Making the decision to design and build your own outdoor oasis is right up there in the ranks of getting a new sports car, or building your own home. To see the creation of a space that is all your own, your vision, brought to life!  Once we have ironed out all the details with a client, and the contract is signed, the most frequent question we are asked is “how long will it take?” While we don’t want to be evasive, there are many variables that have to be factored into each project before we can adequately assess the timeline for completion of your new outdoor space.

Reminders of Medieval Rome

Reminders of Medieval Rome

Much like the old, medieval French proverb states; “Rome wasn’t built in a day“, neither is a custom designed, engineered and custom-built structure of any kind. A topic that is rarely understood or discussed at length is establishing a realistic timeline for completion of your new structure.

There are many factors that go into a construction timeline, these are:

  • Does there need to be HOA approval? If so does your HOA meet quarterly or monthly?
  • Which county or township are you located in?
  • Is a variance needed?
  • Are the materials you have chosen for your particular design stocked locally or special order?
  • How many different trades are involved (plumbing, electrical, masons, HVAC or only carpentry)?
  • Weather or season, and site conditions?
  • What sort of backlog does the builder have?
The ultimate backyard room

Quality takes time.

These, and many other factors can affect the project timeline and should be taken into consideration when determining a final completion date. During your consultation it is imperative that you communicate to us early if there is a mandatory completion date required for your project. These include projects you wish built for a specific occasion or event such as an outdoor wedding, or planned outdoor gathering or celebration. In this way we can create a timeline with decision points that need to be addressed early on.

When the homeowner signs a contract,  project begin dates are established according to the current backlog we have at the time. During the fall and winter months backlogs and lead times are usually less. During the outdoor living season, when the weather is warmer, project beginning dates are longer. All timelines are influenced too, by forces that are beyond our control such as permitting and inspections.

Weather can influence a project timeline

Weather can influence a project timeline

Another variable which can alter your anticipated project timeline is weather conditions.  Since we have no control over the weather we have to work along with whatever Mother Nature provides accordingly. This could mean having to wait to pour concrete when the weather is conducive because of wet or freezing conditions, or rescheduling our framing crew because of inclement weather conditions for a footing installation. We always make every effort to work your project around the forecast, but in some cases nature has a mind of its own.

Archadeck of West Central and Southwest Ohio does things a little different from other outdoor living space design and build firms. Once our team is on your project they remain on your project until it is completed. We do not jump around, from job to job, we treat yours as our one and only until it is done. We feel, this philosophy minimizes inconveniences and the disruption of our clients lifestyle. With this in mind, addendums added to your project while construction in underway can also extend completion dates, especially in circumstances where additional permitting and inspections are necessary to complete these additions.
